Seats in trials and older subscriptions

Summary: During a trial, organisations have every module and unlimited Project seats. When the trial converts to a plan with fewer seats, the most recently assigned seats are released. Subscriptions from before the 2026 pricing have no seat limits.

During a trial

  • All modules are available.
  • Project seats are unlimited, so no one is limited by seats.
  • No Lightbox seats are included. Lightbox must be bought through Cway sales, even during a trial.
  • Admins can still assign Project seats during the trial. This is recommended, because it decides who keeps project authority after conversion.

When a trial converts to a paid plan

If the paid plan has fewer Project seats than were assigned during the trial:

  1. Cway releases the most recently assigned seats until the number fits the plan.
  2. The account owner's seat is released last.
  3. The account owner and seat managers receive an email listing the members who lost a seat.
  4. These members see Project seat required when they try a seat action, and can ask for a seat.

Checkout is never blocked because of seats.

Example: 12 seats were assigned during the trial, and the organisation converts to Project Pro (10 seats included) without extra seats. The 2 most recently assigned seats are released. To keep all 12, buy 2 extra seats (€50 per month).

Subscriptions from before the 2026 pricing

  • All modules are kept.
  • Project seats are not enforced; every member can take seat actions.
  • Lightbox seats can be added without moving the subscription to the 2026 module pricing.
  • The seat rules apply only after the subscription moves to the 2026 module pricing.
